Use Sprig’s built-in email solution to send survey invitations to your own contact list. Customize the look of the email message, use your own domain, and review send stats as emails go out.
Note: Email distribution is available to Enterprise teams on link surveys only. If your team doesn’t have email enabled, reach out to your dedicated Customer Success team or sales@sprig.com for more information on how to enable it.

How Access Works

Email distribution is purchased based on the number of email sends your team plans to use in a year. Once enabled, usage is tracked in Settings > Team > Usage.

Before You Start: Set Up Your Email Domain

Emails sent through Sprig are delivered from your own domain (e.g., research@yourcompany.com), not a generic Sprig address. This improves deliverability and keeps your brand consistent for recipients.
Domain setup must be completed by a team Admin before emails can be sent.

To configure a domain:

  1. Go to Settings > Team > Email.
  2. Click Add Custom Domain.
  3. Enter your domain and copy the DNS information provided.
  4. Add the required DNS records to your domain’s DNS configuration. You may need to involve your IT team, as this requires access to your domain’s DNS configuration.
  5. Once the DNS records have been added, click “Verify” on the domain setup page in Sprig. Sprig will attempt to verify the domain and display a status regarding the check’s success or failure. This process can take time.
Domain statuses: You can add as many domains as your team needs. You won’t be able to create an Email Run until at least one domain has a Verified status.

Creating an Email Run

An “Email Run” is a single batch of emails sent to a contact list for a given survey. You can create multiple Email Runs within the same survey,  for example, an initial send and a follow-up to non-respondents.

Step 1: Enable Email in the Survey

  1. Navigate to a new or existing Survey and click Edit.
  2. Go to the Audience tab.
  3. Toggle Email Run on. Note: Sprig Panel and Email distribution cannot both be active on the same survey at this time.
  4. An Email Run tab will appear in the Study Builder next to the Audience tab. Click Next at the bottom of the screen to proceed.
  5. Provide a name for this Email Run (this naming is internal-only; not visible to recipients).

Step 2: Add a Contact List

A Contact List is a CSV file containing the recipients for this Email Run. You can select a previously uploaded list or upload a new one. To upload a new contact list:
  1. From the Email Run tab, choose to add a new list. This routes you to the Contact Lists section under the main Sprig Users tab.
  2. Optional: Download the sample CSV file if you need a template.
  3. Prepare your CSV with the following required columns:
    • Email: recipient email address
    • First Name: used for personalization in the email body
    • Last Name: used for personalization in the email body
    • User ID: your internal identifier for the recipient
  4. Upload the file. The list will go through a validation and processing step before it’s ready to use.
Contact list statuses:
Once uploaded, lists are reusable across multiple Email Runs and surveys.

Step 3: Compose the Email

Back in the survey, under Email Content, click Edit Email to open the email composer. The editor provides a WYSIWYG interface with an option to edit raw HTML for teams who want full control over formatting. Required elements, that every email must include:
  • A survey link: insert using the “Add Survey Link” button in the toolbar
    • Survey links will be formatted like a button with your brand color by default
  • An unsubscribe link: insert using the “Add Unsubscribe Link” button in the toolbar
Optional elements:
  • Variables: personalize the email using fields from your contact list, such as firstName. Use the “Add Variable” button to insert these.
  • Subject line: customize the email subject.
A default email theme is provided as a starting point.You logo and brand color from Settings > Surveys will automatically be pulled in if you do not make changes. Note: Switching between the visual editor and HTML view will reformat the HTML. Save a copy before switching if you need to preserve custom formatting.

Step 4: Preview, Test, & Schedule the Send

  1. Choose the date and time when emails should begin going out. Large contact lists can take time to fully deliver, so factor this in when scheduling relative to when you want responses.
  2. To Preview or Test the study, click the “Preview and test” button near the top. Enter the email addresses you want to receive the test email.
  3. When you are ready to launch, click Save and then launch the survey**. **
Note: If you set a schedule for the emails to begin being sent but do not launch the survey, no emails will be sent and you will need to choose a new time in the future if you want emails to be sent when launching the survey. 

Step 5: Launch

Finish setting up the survey, then launch. The Email Run will send according to the schedule you’ve set. After launch:
  • You can add additional Email Runs to the same survey at any time. You can set an email run to begin sending as soon as about 15 minutes from the present time. 
  • Each Email Run is tracked separately so you can monitor sends, opens, and response rates per batch.

Unsubscribes and Do Not Contact

Sprig automatically handles unsubscribes.
  • When a recipient clicks the unsubscribe link in your email and confirms on the page that opens in their browser, they’re added to the team-wide Do Not Contact list and will not receive future emails from your team even if included in future Contact Lists.
  • You can view and manage this list under Users > Do Not Contact List.
The unsubscribe page will display a simple ‘Do you want to unsubscribe? Please confirm your preference.’ message with an “Unsubscribe” button. Your brand color will be used as an accent. The text on this page cannot yet be customized or translated.

FAQs

What if the same person is included on multiple Contact Lists?
  • Sprig has a basic email cooldown period of 24 hours included. No matter how many Contact Lists a person is on, they will not receive more than 1 email from Sprig in a 24 hour period.  
Is the Do Not Contact list just for emailed surveys?
  • Yes. When a user unsubscribes via a survey email, they are added to a global opt-out list. Once unsubscribed, they will no longer receive survey emails across any product workspace, even if listed as a contact for future surveys
Does data uploaded as part of a Contact List interact with data I already have about my users?
  • Users created through Contact Lists are separate from users created through the SDK used to send In-Product Surveys, even if the user has the same email address or user id. 
How can I review delivery metrics, opt-outs, etc.?
  • Simply select to “Edit” the survey, and review the email delivery, opt-outs, bounce-backs, etc. within the Email Run tab on your survey. Sprig will track all of this information for you.
